About the Role: Responsibilities, Skills, and Requirements
Introduction
Ever wondered what it’s like to be the right hand of a fast-moving technical operation? If you’re someone who thrives on organization, enjoys the puzzle of preparing precise quotations, and has a knack for keeping projects moving smoothly, this role might just be your next step. We’re looking for an Office Technical Sales Coordinator to join a busy team in the New Industrial Area of Umm Al Quwain.
This isn’t just a desk job where you shuffle papers. It’s a chance to be at the heart of a construction-focused company, where your ability to manage documentation and communicate clearly directly impacts the success of real, physical projects. If you have a background in metal fabrication or aluminum systems, you already know how fast things can move—and how crucial a good coordinator is to keep everything on track.
About the Company
We’re a well-established player in the UAE’s construction and fabrication scene, operating out of a spacious facility in Umm Al Quwain’s industrial hub. Over the years, we’ve built a reputation for delivering quality aluminum and metalwork on time, and a lot of that comes down to how we work together as a team.
You’ll find a mix of seasoned fabricators, sharp engineers, and office staff who genuinely enjoy what they do. It’s the kind of place where the workshop manager knows everyone by name, and where your contribution in the office is seen and appreciated by the people on the ground. We’re not a faceless corporation—we’re a tight group that takes pride in the structures we help bring to life across the Emirates.
What You’ll Be Doing
Your days will be varied, to say the least. One moment you’ll be deep in a spreadsheet, the next you’ll be on the phone with a client clarifying a technical detail. Here’s a closer look at what the role involves:
- Preparing quotations that are accurate, competitive, and professionally presented—you’ll be the one turning technical specifications into clear, actionable pricing documents.
- Managing office correspondence, from drafting and sending emails to handling incoming inquiries. You’ll be the voice and the written word of the company for many of our clients.
- Answering customer calls with confidence and clarity. Whether it’s a quick question about timelines or a detailed request about materials, you’ll handle it with a calm, professional approach.
- Supporting project teams by preparing and organizing technical documents. Think submittals, transmittals, and other paperwork that keeps projects compliant and on schedule.
- Keeping the office organized—maintaining filing systems (both physical and digital) so that any document can be found in seconds, not minutes.
- Liaising between the sales team, the workshop, and clients to ensure everyone’s on the same page regarding specifications, quantities, and deadlines.
What You’ll Bring
We’re looking for someone who’s not just experienced, but genuinely organized and proactive. Here’s what we’d love you to have:
- Minimum 2 years of experience in a similar role here in the UAE—you understand the local market and how business is done here.
- Strong command of Microsoft Office, especially Excel and Word. You should be able to create neat, well-formatted documents and work with spreadsheets without breaking a sweat.
- Excellent communication skills in English, both written and spoken. You’ll be drafting emails and speaking with clients regularly, so clarity matters.
- Experience in the construction, aluminum, or metal fabrication sectors—you’ll hit the ground running if you already know terms like mullions, transoms, powder coating, or gauge thickness.
- A solid grasp of quotation preparation, including reading technical drawings and understanding basic cost breakdowns.
- The ability to multitask without dropping the ball. In a busy industrial environment, priorities can shift quickly, and you’ll need to adapt.
Not sure you tick every box? We’d still love to hear from you—sometimes the right attitude and willingness to learn are worth more than a perfect checklist.
Why You’ll Love Working Here
Let’s be honest—Umm Al Quwain might not be the first place that comes to mind when you think of the UAE’s job market, but that’s part of the charm. You’ll avoid the traffic headaches of Dubai or Sharjah, and you’ll be part of a team that feels more like a family.
- Stability and growth—we’re a busy company with a steady pipeline of projects, and we reward loyalty.
- A supportive environment where your ideas on improving processes are actually heard.
- Direct exposure to real projects—you’ll see the results of your paperwork in the structures that go up around you.
- Competitive salary based on experience, with the potential for growth as you prove yourself.
- A cleaner commute if you live in Umm Al Quwain, Ajman, or even the northern parts of Sharjah.
At the end of the day, this is a role where you can genuinely make a difference. You’ll be the bridge between the back office and the workshop floor, and your organizational skills will keep the whole machine humming. If that sounds like a challenge you’d enjoy, we’d love to meet you.
Common Interview Questions and Tips
To help you prepare and feel confident, here are some questions you might encounter during the interview process for this role.
- Walk me through how you’d approach preparing a quotation for a custom aluminum facade system. What steps do you take to make sure nothing is missed before sending it out?
- If a client calls asking for a price on a project that’s still missing key specifications, how do you handle it without stalling the conversation?
- Tell me about a time you had to juggle multiple urgent requests at once. How did you prioritize, and what was the outcome?
- Can you describe your experience reading technical drawings? What do you look for first when reviewing a drawing to prepare a cost estimate?
- Imagine the workshop tells you a spec you quoted isn’t feasible with the current materials. How would you communicate that to the client and keep the project moving forward?
- What’s your system for keeping digital and physical documents organized? Give me an example of a filing structure you’ve set up in a previous role.
- Have you ever caught a mistake in a quotation or a submittal before it went out? What happened, and how did you fix it?
- How do you handle a situation where a client is frustrated about a delay that’s partly your team’s fault? Walk me through what you’d say and do.
- What does “proactive” mean to you in an office coordination role? Can you share a time you anticipated a problem before it became one?
- In your experience, what’s the biggest communication gap between a sales office and a workshop, and how would you help bridge it here?
- We work in a fast-paced industrial environment where priorities shift quickly. How do you stay flexible without letting your core tasks slip?
- Why are you interested in moving into a coordination role within the aluminum or metal fabrication industry specifically, rather than a general administrative position?
