About the Role: Responsibilities, Skills, and Requirements
Introduction
Curious what it’s like to keep the wheels of a fast-paced Dubai car rental business turning smoothly? As an Administrative Specialist in our rental office, you’ll do more than just push paper — you’ll be the friendly voice and organized brain behind every customer interaction, ensuring both travelers and locals get on the road with confidence. If you thrive on clarity, efficiency, and making people’s lives a little easier (all while picking up industry know-how in a dynamic city like Dubai), this might be your next great adventure.
About the Company
Picture a team that believes every client’s journey starts with a handshake and a smile — that’s us. At our Dubai-based car rental company, we’ve built our reputation on trust, flexibility, and treating every renter like a VIP. Our office is a blend of seasoned industry pros and rising stars, all united by a passion for seamless operations and stellar customer care. Fun fact: weekly team lunches often turn into brainstorming sessions, and our coffee machine is practically a co-worker.
We’re big on solutions (not just vehicles) and make a point of celebrating both individual wins and collective milestones. As we continue to ride the wave of Dubai’s booming travel sector, there’s plenty of room for your growth and ideas here.
What You’ll Be Doing
- Managing rental agreements from start to finish — think accurate data entry, document prep, and smooth hand-offs.
- Serving as the first point of contact for clients, whether they’re picking up keys, have a question, or need guidance on the best vehicle for their plans.
- Maintaining and updating customer records, ensuring everything is organized and GDPR-compliant.
- Collaborating with our fleet and support teams to ensure availability, vehicle checks, and maintenance schedules are spot on.
- Handling daily office admin: invoices, contract extensions, cancellations, and the always-important coordination of paperwork.
- Putting those Microsoft Excel skills to use by generating daily, weekly, and monthly reports for management (think occupancy rates, contract updates, and customer feedback).
- Troubleshooting basic IT or system issues — when something goes sideways, you’re the calm in the storm.
- Proactively suggesting process improvements (if there’s a smarter way to do it, we want to hear about it).
What You’ll Bring
Must-Haves:
- Proven experience in the car rental, vehicle rental, or automotive services industry.
- Exceptionally clear and fluent English — both spoken and written. (Multilingual? Even better!)
- Friendly, professional customer service skills — you speak with empathy and confidence.
- Advanced Microsoft Excel skills — you’re comfortable with formulas, pivot tables, and data analysis.
- Strong overall computer literacy and comfort with IT tasks (think: navigating new systems, troubleshooting simple tech woes).
- Experience handling rental contracts, maintaining records, and keeping daily operations running on time.
Nice-to-Haves:
- Working knowledge of Arabic is a plus.
- Familiarity with commonly used car rental or fleet management software.
- Prior experience in high-volume, multicultural office environments.
