About the Role: Responsibilities, Skills, and Requirements
Introduction
Ever wondered what it takes to keep a busy Jebel Ali operation running like clockwork? We're looking for four sharp, dependable people to join our administrative team — an Administration Officer, a Document Controller, an Admin Assistant, and an Office Assistant. If you're already in the UAE and ready to start work yesterday (or at least very soon), this could be the move you've been waiting for. These aren't "warm a chair" roles — they're the backbone of how our office actually functions.
About the Company
We're a growing operation based in Jebel Ali, and our admin team is the engine room of everything we do. No corporate stiffness here — people pitch in, cover for each other, and genuinely get along. Fridays are a little quieter, but the rest of the week hums with activity, and we like it that way. We're expanding, which means real room to grow if you're the kind of person who takes ownership of their work.
What You'll Be Doing
- Keep day-to-day office operations running smoothly — from correspondence and filing to scheduling and supply runs
- Manage, organize, and track company documents so nothing gets lost, misfiled, or missed (especially important for our Document Controller)
- Handle incoming calls, emails, and walk-ins with a professional, friendly manner
- Coordinate with internal teams and external vendors to keep projects on track
- Maintain accurate records, reports, and databases — accuracy matters here
- Support the wider team with whatever the day throws at you (and yes, some days it's a lot)
What You'll Bring
Must-Haves:
- You're currently inside the UAE — this is a hard requirement
- Prior experience in administration, document control, or office support (role-dependent)
- Solid computer skills — MS Office, email, and basic data entry
- Good communication in English (additional languages are a plus)
- A reliable, organized, can-do attitude
Nice-to-Haves:
- Experience in a similar industry or Jebel Ali-based role
- Document management software familiarity (for the Document Controller role)
- A valid UAE driving license
Not sure you tick every box? We'd still love to hear from you — sometimes attitude beats a perfect CV.
Why You'll Love Working Here
- Salary range of AED 2,500 – AED 5,000, depending on the role and your experience
- Free visa, accommodation, and medical insurance provided — that's a lot of your monthly stress taken care of
- Any nationality welcome — we care about what you bring, not where you're from
- Immediate joining preferred — if you're ready now, so are we
- A supportive, close-knit team that actually has your back
Look, we know admin work doesn't always get the spotlight. But here, you're not a background player — you're the reason things get done. If that sounds like your kind of role, we'd love to see your CV.
Common Interview Questions and Tips
To help you prepare and feel confident, here are some questions you might encounter during the interview process for this role.
- Walk me through how you currently organize and track important company documents. What system or process do you use to make sure nothing gets misfiled or lost?
- Our Document Controller will be handling a high volume of records across different projects. Can you describe a time when you caught a documentation error that could have caused problems down the line? What did you do?
- What's your comfort level with MS Office — specifically Excel? Give me an example of something you've built or maintained in a spreadsheet.
- You get a call from an upset vendor while simultaneously a colleague needs an urgent report and someone's waiting at reception. How do you handle that moment?
- Have you ever worked with document management software? If so, which platforms, and what did you use them for day to day?
- Accuracy is huge for us. Tell me about a time you noticed a discrepancy in a report or record. How did you handle it and what was the outcome?
- Why are you looking to join a team here in Jebel Ali specifically? What appeals to you about this kind of setup?
- Describe a situation where you had to coordinate between internal teams and an outside vendor to keep something on schedule. What was your approach?
- This role sometimes means doing things that aren't glamorous — filing, supply runs, chasing signatures. How do you stay motivated when the work gets repetitive?
- Tell me about a time you made a mistake at work. What happened, and more importantly, what did you change afterward?
- We're a close-knit team and people cover for each other. Can you give me an example of when you stepped outside your job description to help a colleague or the wider team?
- How soon are you available to start if we move forward? And just to confirm — you're currently in the UAE, correct?
- What does a well-organized workday look like to you? How do you prioritize when everything feels urgent?
