About the Role: Responsibilities, Skills, and Requirements

Office Assistant – Business Bay, Dubai

Ever walked into an office and noticed everything just… worked? Phones answered, files where they should be, meetings running on time? That quiet magic doesn't happen by accident — it's usually the work of one organized, dependable person behind the scenes. We're looking for exactly that person to join our team in Business Bay. If you take pride in keeping things running smoothly and enjoy being the go-to person everyone relies on, this role might be your perfect fit.

About the Company

We're a growing business based in the heart of Business Bay, and we genuinely believe that the small stuff matters. Our team is close-knit, fast-paced, and friendly — the kind of place where people pitch in when things get busy and celebrate together when things go well. We're not a giant corporation with layers of bureaucracy; we're a team that values initiative, honesty, and a good sense of humor on hectic days.

Because we're still growing, the right person won't just be filling a seat — they'll be shaping how our office runs day to day. If that sounds like your kind of environment, keep reading.

What You'll Be Doing

  • Be the first friendly face (and voice) people encounter — greeting visitors, answering calls, and handling inquiries with a smile
  • Manage day-to-day administrative tasks: filing, scanning, photocopying, and keeping both digital and physical records tidy
  • Handle incoming and outgoing correspondence, including emails, courier packages, and deliveries
  • Keep the office stocked and organized — stationery, pantry supplies, and everything in between
  • Help schedule meetings, manage calendars, and coordinate with different team members when needed
  • Support basic data entry and maintain accurate records in our systems
  • Assist colleagues with ad-hoc tasks — because in a small team, everyone wears a few hats

What You'll Bring

Must-Haves:

  • Strong organizational skills and a genuine eye for detail — you notice when something's out of place
  • Comfortable with computers: MS Office (Word, Excel, Outlook) and basic office software
  • Good communication skills in English, both written and spoken
  • A responsible, reliable attitude — you show up on time and follow through
  • Ability to handle multiple small tasks without letting anything slip through the cracks

Nice-to-Haves:

  • Previous experience in an office or administrative role
  • Familiarity with office equipment like printers, scanners, and phone systems
  • Arabic language skills (a bonus, not a dealbreaker)

Not sure you tick every box? We'd still love to hear from you — attitude and reliability often matter more than a perfect checklist.

Why You'll Love Working Here

  • Company visa provided — we handle the paperwork so you can focus on the job
  • Medical insurance for peace of mind
  • Annual leave and other company benefits
  • Competitive salary of AED 2,500–3,000/month, based on your experience
  • A central Business Bay location — easy to reach, with plenty nearby for lunch breaks
  • Room to grow: as our team expands, so do the opportunities
  • A supportive, down-to-earth team that appreciates the work you do

We know administrative roles can sometimes feel invisible — but not here. If you're the kind of person who takes quiet pride in keeping things running smoothly, you'll fit right in.

Common Interview Questions and Tips

To help you prepare and feel confident, here are some questions you might encounter during the interview process for this role.

  • Walk us through how you typically organize your day when you're juggling filing, answering calls, and handling a courier delivery that shows up unannounced.
  • What's your comfort level with Microsoft Word, Excel, and Outlook? Can you give an example of something you've done in Excel, even something simple like tracking a list or updating a spreadsheet?
  • Imagine you're asked to schedule a meeting between three colleagues who all have different availability. How would you go about finding a time that works for everyone?
  • A visitor arrives at reception while you're on a call and a delivery driver is waiting at the door. How do you handle all three at once?
  • How would you keep both digital and physical files organized so that anyone on the team could find what they need if you were out for the day?
  • Tell me about a time you noticed a small mistake — a wrong date, a misfiled document, a missed detail — before it became a bigger problem. What did you do?
  • Describe a situation where you had several small tasks land on your desk at the same time. How did you decide what to tackle first?
  • Have you ever had to deal with a frustrated caller or visitor? Walk me through what happened and how you handled it.
  • This role involves a lot of repetitive tasks — scanning, filing, restocking. How do you stay focused and accurate when the work gets routine?
  • What attracted you to an office assistant role in a small, growing team rather than a larger corporate environment?
  • In a close-knit team, people pitch in wherever needed. Can you share an example of a time you helped with something outside your usual responsibilities?
  • How do you prefer to receive feedback, and how do you handle it when someone points out something you missed?

Market-Based Salary Overview and Analysis

This salary range of AED 2,500–3,000 per month is a common and realistic starting point for office assistant roles in Dubai, particularly within growing businesses and smaller teams where hands-on contribution is valued. The package is strengthened by the inclusion of a company-provided visa, medical insurance, and annual leave, which together represent meaningful additional value beyond the base pay. For candidates seeking a supportive environment with room to grow as the team expands, this role offers a solid foundation to build experience and take on greater responsibility over time.
