About the Role: Responsibilities, Skills, and Requirements

Ever wondered what it’s like to play a pivotal role behind the scenes in the fragrance industry? As a Private Label Assistant Coordinator, you’ll be right in the middle of our creative chaos—making sure projects run smoothly, clients feel heard, and our signature perfumes make it from concept to delivery with flair. If you love connecting dots and seeing ideas turn into beautiful, tangible products, this could be your perfect next step.

About the Company

We’re a boutique private label perfume house based in Dubai, currently experiencing exciting growth across the GCC. Our small (and slightly fragrance-obsessed!) team thrives on collaboration, a shared passion for unique scents, and the daily hustle of crafting signature products for niche brands. You’ll often find us swapping notes on new fragrance launches over strong Arabic coffee or celebrating a big order with a round of impromptu team applause. We put client satisfaction at the heart of everything, but we also value balance, trust, and a dose of fun.

What You’ll Be Doing

  • Acting as the main point of contact between clients, sales, and production—no day is ever quite the same.
  • Coordinating private label projects end-to-end: from initial inquiry to final delivery.
  • Tracking client enquiries and diligently following up on quotations, orders, and production milestones so nothing slips through the cracks.
  • Assisting with documentation, including contracts, project briefs, and shipping paperwork.
  • Supporting the sales team in preparing proposals and keeping clients in the loop with regular progress updates.
  • Jumping in to resolve unexpected snags or delays (because they do happen, and we love creative problem-solvers).

What You’ll Bring

Must-Haves

  • Meticulous attention to detail—whether you’re emailing a client or reviewing an order form, you catch the small stuff.
  • Proven ability to juggle multiple projects and timelines.
  • Comfort working in a fast-paced team environment.
  • Strong written and verbal communication skills in English.
  • Tech-savvy mindset: you pick up new systems quickly.

Nice-to-Haves

  • Previous experience in admin, coordination, or the fragrance/cosmetics sector.
  • Familiarity with ERP or order management systems.
  • Bonus points for Arabic proficiency, but it’s not essential.

Not sure you tick every box? We’d still love to hear from you.

Why You’ll Love Working Here

  • Competitive salary with performance incentives.
  • Friendly, tight-knit team that loves to celebrate wins—big or small.
  • City-centre office in Dubai with easy access to public transport (and stunning views).
  • Opportunities to learn, grow, and carve out your own path in a blooming sector.
  • Flexibility when you need it—some of us occasionally work remotely for heads-down project days.

Here, your organizational superpowers help bring new fragrances to life. And who knows? You might just discover your new favorite scent along the way.
