About the Role: Responsibilities, Skills, and Requirements

Ever thought about what keeps a busy Dubai office running like clockwork? If you’re noticing every detail, handling tasks before anyone asks, and looking for a foot in the door in UAE’s booming business scene—you might love our Admin Assistant opening. It's a front-row seat to how a dynamic company in Business Bay operates. Maybe you’ve got admin experience from somewhere else, or maybe you’re just organized by nature; either way, no UAE background is required. We welcome fresh vision and practical minds.

About the Company

Tucked right in the heart of Business Bay, we’re a fast-paced recruitment agency that likes to do things our own way. Our team is a colourful mix—multinational, hardworking, and quick to lend a hand. It’s not unusual for someone’s homemade dessert to appear in the break room (don’t blame us if you get used to afternoon cake). With growth on our minds and Dubai’s energy at our doorstep, every day brings something new to our desks.

What You’ll Be Doing

  • Acting as the welcoming face of our office—whether you’re answering calls, greeting visitors, or helping team members stay organized
  • Keeping daily operations smooth: scheduling meetings, booking travel, and keeping track of supplies
  • Processing paperwork and digital files so nothing gets lost in the shuffle
  • Supporting HR tasks, like preparing documents for visas or new hires
  • Helping with light finance admin—think invoices, expense claims, and petty cash
  • Pitching in on event prep (yes, including birthday cakes and Friday treats)
  • Learning the ropes of Dubai’s business landscape on the job

What You’ll Bring

Must-Haves:

  • Good communication skills in English (extra points for other languages)
  • Organizational superpowers—you notice missing files or empty coffee pods
  • A professional yet approachable attitude
  • Comfort with basic office technology (emails, printers, spreadsheets—you know the drill)
  • Eagerness to learn UAE admin procedures (even if it’s all new to you)

Nice-to-Haves:

  • Previous office experience (from any country)
  • Familiarity with HR basics or accounting (not required, but it helps)
  • Flexibility—open to pitching in wherever needed

Not sure you tick every box? We’d still love to hear from you.

Why You’ll Love Working Here

  • Two-year UAE residency permit (fully sponsored)
  • Renewable employment contract
  • Competitive salary: AED 5000–6000 per month
  • Health insurance coverage
  • Training to help you grow in your career
  • Supportive, international team who’ll show you the Dubai ropes
  • Office located in Business Bay, with plenty of lunch spots and city buzz
  • Office traditions—celebrating birthdays, achievements, and small wins
  • Opportunity to build your expertise in one of Dubai’s most vibrant business hubs

You’ll join a team where your skills—and your personality—matter. We value loyalty, a sense of humour, and those who believe there’s no such thing as “not my job.” Come as you are, and let’s do great work together.

Common Interview Questions and Tips

To help you prepare and feel confident, here are some questions you might encounter during the interview process for this role.

  • Can you walk me through how you’d manage greeting visitors, answering calls, and juggling other tasks during a particularly busy morning in the office?
  • When organizing meetings and booking travel or supplies, what steps would you take to ensure nothing gets overlooked or double-booked?
  • Tell us about your experience (if any) preparing HR documents, such as contracts or visa paperwork. If you’re new to this, how would you approach learning these processes?
  • Have you ever handled invoices, expense reimbursements, or petty cash? How do you ensure accuracy and avoid mistakes with financial admin?
  • Which office software and tools are you most comfortable using, and are there any you’d like to improve your skills with?
  • Describe a time when you spotted something that everyone else missed—how did you handle it, and what was the outcome?
  • Imagine there’s a last-minute request to prepare for an office birthday celebration, but you’re already busy with another deadline. How would you prioritize and communicate with your team?
  • How do you handle repetitive or routine tasks and keep your motivation up on days that feel less exciting?
  • Dubai is a fast-moving city with its own quirks. What excites or challenges you about adapting to a business environment that’s new to you?
  • Can you share a story about a situation where you had to support your team outside your usual responsibilities? How did you approach it?
  • In our multicultural office, how would you make sure visitors and colleagues from different backgrounds feel welcome?
  • We’re big on celebrating little wins (and the occasional cake break). How do you contribute to a positive team culture in your past roles or daily life?
  • Sometimes, rules and routines change as the company grows. How do you approach learning and adjusting to new procedures, especially in an unfamiliar setting?
  • What does “professional but approachable” mean to you, and how would you embody that in an admin role?
