About the Role: Responsibilities, Skills, and Requirements
Ever walked into a flower shop and felt that instant calm — the scent of fresh blooms, the burst of color, the quiet hum of creativity? Now imagine being the person who keeps that whole world running smoothly behind the scenes. That’s exactly what we’re offering. We’re a boutique flower company nestled in Al Safouh, Dubai, and we’re on the hunt for a sharp, organized Admin to join our little team right away. If you’ve got a head for details and a soft spot for petals, this might just be your next favorite role.
About the Company
We’re not your average corporate operation — think more like a tight-knit crew of floral enthusiasts who take pride in turning everyday moments into something memorable. Based in the heart of Al Safouh, we cater to a mix of loyal local clients and walk-ins who appreciate the artistry that goes into every arrangement. Our days are busy, often fragrant, and always a little unpredictable — which is half the fun. We value people who can roll with the rhythm, pitch in where needed, and bring a positive energy to the table. If you like the idea of working somewhere that feels less like a stiff office and more like a creative hub with a cash register, you’ll fit right in.
What You’ll Be Doing (Responsibilities)
- Handling day-to-day administrative tasks — think inbox management, scheduling, order tracking, and keeping our records neat and tidy.
- Supporting the sales side of things: preparing quotes, following up with clients, and helping close the loop on orders from inquiry to delivery.
- Coordinating with our florists and delivery partners to make sure every order goes out right — and on time.
- Answering calls and greeting visitors with that warm, professional touch (you might even get to inhale a few roses while you’re at it).
- Keeping stock and supplier details updated, so nothing slips through the cracks.
- Occasionally jumping in to help with showroom displays or event prep when things get busy — a little hands-on help goes a long way.
What You’ll Bring (Qualifications)
Must-Haves:
- Previous experience in administration and sales — you know your way around a busy schedule and a customer inquiry.
- Strong communication skills, both written and spoken. You’re clear, polite, and quick to respond.
- Solid organizational instincts — if you make lists for your lists, we already like you.
- Availability to join immediately — we’re ready when you are.
- Based in or able to commute to Al Safouh, Dubai without a hitch.
Nice-to-Haves:
- Experience in the flower industry or a related retail field — you already know the difference between peonies and ranunculus.
- Familiarity with basic POS systems or inventory tools.
- A knack for multitasking without letting the ball drop.
Not sure you tick every box? We’d still love to hear from you. Sometimes the right attitude matters more than a perfect checklist.
Why You’ll Love Working Here (Benefits & Perks)
- Be part of a creative, friendly environment where no two days look exactly the same.
- Work in one of Dubai’s more charming neighborhoods — Al Safouh has its own laid-back vibe that makes the daily commute feel a little less like a grind.
- Get hands-on exposure to the floral industry — you’ll learn more about flowers than you ever expected, and honestly, that’s a pretty cool party trick.
- Enjoy a role where your organizational skills genuinely shape how smoothly the business runs. You’ll see the impact of your work every single day.
- We’re a small team, which means your voice is heard, your ideas matter, and you’re not just another cog in a giant machine.
At the end of the day, we’re looking for someone who wants to grow with us — someone who’s organized, personable, and ready to dive into the wonderful chaos of a flower business. If that sounds like you, we’d love to meet you. Send your CV our way, and let’s see if you’re the missing stem in our bouquet.
Common Interview Questions and Tips
To help you prepare and feel confident, here are some questions you might encounter during the interview process for this role.
- How would you handle a situation where a client calls in a panic because their order hasn’t arrived yet, and you know the delivery is running late due to traffic? Walk me through your process.
- Let’s say a walk-in customer asks about a flower arrangement that isn’t on today’s price list — how do you go about preparing a quote that’s both accurate and fair, without having to chase down the florist mid-arrangement?
- Can you describe a time when you had to juggle multiple admin tasks at once — maybe tracking orders, answering emails, and managing a phone line — and how did you keep everything from slipping?
- The team uses a basic POS system and some inventory tracking tools. If you walked in on day one and found the stock records weren’t quite matching what was physically on the shelves, what would your first steps be to sort that out?
- Tell me about a moment in a past job where you had to coordinate with both a sales team and a delivery or operations crew to make sure a customer’s order went out correctly. What was your role in keeping everyone aligned?
- A loyal client calls to place a large order for an event, but they’re a bit vague on the details and seem rushed. How do you make sure you capture everything accurately while keeping the conversation warm and professional?
- We’re a small, fast-moving team where you might be updating supplier records one minute and helping tidy the showroom the next. How do you stay focused and productive when your to-do list shifts mid-day?
- The shop gets unexpectedly busy during a holiday rush, and you notice the florists are falling behind on arrangements while deliveries are stacking up. What would you do to help ease the pressure without overstepping your role?
- We’ve had admins who were super organized but struggled with the casual, creative vibe of our shop — and others who loved the vibe but couldn’t keep track of
