What You’ll Be Doing
- Acting as the main communication link between the office, site teams, and management—translating needs and priorities into action
- Coordinating, tracking, and filing LPOs and invoices—making sure nothing slips through the cracks
- Keeping close tabs on all admin documents, so anyone who asks knows where to find the latest update
- Managing calendars and organizing meetings, both planned and (inevitably) last-minute
- Drafting, preparing, and following up on reports to ensure everyone has the right information at their fingertips
- Liaising with suppliers for quotes, deliveries, and ongoing communication, nurturing those key relationships
- Supporting ad-hoc administrative requests—sometimes it’s a one-off errand, sometimes it’s quick problem-solving
- Spotting opportunities to make our processes just a bit better, every week
What You’ll Bring
Must-Haves:
- At least two years’ experience in an administrative or coordination role in the UAE
- Comfortable juggling multiple priorities in a fast-paced, sometimes unpredictable environment
- Strong English communication skills (spoken and written)—you’ll be the linchpin between teams and suppliers
- Confident with basic office software (think: Microsoft Office suite, email platforms, file sharing)
- Organized, detail-oriented, and good with time management
- Proactive attitude—a knack for noticing what needs doing and jumping in
Nice-to-Haves:
- Previous experience handling office-to-site operations
- Familiarity with supplier negotiation or procurement processes
- Spoken Arabic (even a little) is a plus, but not essential
