About the Role: Responsibilities, Skills, and Requirements

Ever found yourself the calm amid a flurry of deadlines, calls, and paperwork? If so, you might be exactly who we’re searching for. Novascape is looking for a proactive and detail-loving Administrative Coordinator ready to keep our operations running smoothly. You’ll be at the heart of our company’s day-to-day rhythm—connecting the dots between our office, busy site crews, and management team. If you value structure but can pivot quickly when priorities shift, read on.

About Novascape

At Novascape, we’re more than just another name in the UAE landscaping scene. Yes, our projects are growing—and so are we—but it’s our collaborative, friendly atmosphere that sets us apart. Teamwork isn’t just a buzzword here; we check in with each other daily (often over generous servings of Arabic coffee). Whether it’s celebrating wins or troubleshooting hiccups, we genuinely care about our people, and it shows in our work. Fridays might mean a quick shared breakfast and early wrap-up if the week’s gone well—because sometimes, you just have to celebrate the small victories too.

What You’ll Be Doing

  • Acting as the main communication link between the office, site teams, and management—translating needs and priorities into action
  • Coordinating, tracking, and filing LPOs and invoices—making sure nothing slips through the cracks
  • Keeping close tabs on all admin documents, so anyone who asks knows where to find the latest update
  • Managing calendars and organizing meetings, both planned and (inevitably) last-minute
  • Drafting, preparing, and following up on reports to ensure everyone has the right information at their fingertips
  • Liaising with suppliers for quotes, deliveries, and ongoing communication, nurturing those key relationships
  • Supporting ad-hoc administrative requests—sometimes it’s a one-off errand, sometimes it’s quick problem-solving
  • Spotting opportunities to make our processes just a bit better, every week

What You’ll Bring

Must-Haves:

  • At least two years’ experience in an administrative or coordination role in the UAE
  • Comfortable juggling multiple priorities in a fast-paced, sometimes unpredictable environment
  • Strong English communication skills (spoken and written)—you’ll be the linchpin between teams and suppliers
  • Confident with basic office software (think: Microsoft Office suite, email platforms, file sharing)
  • Organized, detail-oriented, and good with time management
  • Proactive attitude—a knack for noticing what needs doing and jumping in

Nice-to-Haves:

  • Previous experience handling office-to-site operations
  • Familiarity with supplier negotiation or procurement processes
  • Spoken Arabic (even a little) is a plus, but not essential

Not sure you tick every box? We’d still love to hear from you.

Why You’ll Love Working Here

  • Competitive salary of AED 3,000 per month
  • Supportive, close-knit team that looks out for each other
  • Opportunities to grow—if you want to take on more, we’re happy to support training or expanded roles
  • Convenient office location, with a genuine open-door policy
  • Occasional early finishes and team gatherings—work hard, but don’t forget to celebrate
  • Structured daily routines, but enough variety to keep things interesting

At Novascape, we know the value of someone who can keep everything humming along in the background. If you enjoy seeing your impact unfold every day, you’ll find plenty of satisfaction here.

Common Interview Questions and Tips

To help you prepare and feel confident, here are some questions you might encounter during the interview process for this role.

  • Can you walk us through a typical day in your last administrative coordinator role—how did you manage competing demands and keep communication flowing?
  • Tell us about your experience managing LPOs and invoices. What systems or tools did you use to keep everything organized and up to date?
  • In this position, you'll often need to be the 'translator' between different teams. How have you handled situations where office staff and site crews had different priorities?
  • What’s your approach to managing unexpected urgent requests or last-minute changes to the schedule? Can you share an example where you had to quickly pivot your plans?
  • Describe a time you suggested or implemented a process improvement in an admin workflow. What was the outcome?
  • How comfortable are you with Microsoft Office tools, and are there any features or shortcuts you rely on to work more efficiently?
  • Have you ever been tasked with sourcing suppliers and handling procurement? If so, what strategies did you use to get the best results for your company?
  • In a fast-paced environment like ours, details matter. Can you provide an instance when your attention to detail prevented a costly mistake?
  • Give us an example of a time when you had to resolve a miscommunication between two teams or external partners. What steps did you take?
  • We value proactive team members. Can you recall a situation where you noticed something was about to fall through the cracks and took initiative to fix it?
  • Our culture is big on teamwork, celebrations, and open communication. What does an ideal team environment look like to you, and how do you contribute to a positive workplace vibe?
  • Sometimes the best solutions come from unexpected places. Tell us about a time when you handled a completely new or unusual administrative request—how did you approach it?
  • How do you stay motivated and manage stress during peak periods with tight deadlines and multiple priorities?
  • If you don’t speak Arabic, how would you bridge any language gaps with suppliers or crew members in a UAE context?
