About the Role: Responsibilities, Skills, and Requirements

Introduction

Ever feel like you’re the person who keeps the whole ship afloat, but never gets to steer? This role is for the detail-obsessed organizer who thrives in a fast-paced environment and doesn’t mind juggling a dozen small tasks at once. We’re on the hunt for an Administrative Assistant to join our tight-knit team in Al Qusais, Dubai. It’s a role that’s more than just answering phones — you’ll be the backbone of our daily operations, ensuring everything from client communications to payment follow-ups runs without a hitch. If you take pride in a well-ordered inbox and a tidy filing system, this could be your perfect fit.

About the Company

We’re a well-established company in the heart of Al Qusais, and while we’ve been around for a while, we’ve kept that close-knit, start-up energy. You won’t get lost in a sea of faces here — we know each other's names, we celebrate birthdays, and we genuinely enjoy working together. That said, we’re not a place for slackers. We’re growing, which means there’s always something happening, and we need someone who can keep pace with that momentum. Think of us as a team that values efficiency but never at the cost of a good laugh.

What You’ll Be Doing

  • Manage the email inbox like a pro — sorting, prioritizing, and responding to correspondence in a timely manner. You’ll be the first point of contact for many clients, so a professional yet friendly tone is key.
  • Handle invoicing and quotations — from printing and preparing invoices to drafting and sending out accurate quotations. This is detail-heavy work, and we need someone who doesn’t let a decimal slip by.
  • Keep client files organized — both physical and digital. You’ll be the one who can find any document within seconds, which is more valuable than you might think.
  • Follow up on client payments — a polite nudge here, a reminder there. You’ll be the reason our cash flow stays healthy, and you’ll do it with tact and professionalism.
  • Provide general administrative support — because let’s face it, no two days are exactly the same. You’ll pitch in where needed, whether that’s scheduling meetings or assisting with ad-hoc requests.

What You’ll Bring

Must-Haves:

  • Fluency in English — both written and spoken. You’ll be communicating with clients daily, so clarity and confidence are non-negotiable.
  • Solid computer literacy — you should be comfortable with Microsoft Office (especially Word and Excel) and email platforms. If you’ve dabbled in accounting software, even better.
  • Strong organizational skills — you’re the type of person who color-codes their calendar and actually enjoys it. You can juggle multiple tasks without dropping the ball.

Nice-to-Haves:

  • Prior experience in a similar administrative role, ideally in Dubai.
  • Familiarity with basic accounting or invoicing tools.
  • A valid UAE driving license (not essential, but a bonus for occasional errands).

Not sure you tick every box? We’d still love to hear from you. Sometimes the right attitude matters more than a perfect checklist.

Why You’ll Love Working Here

  • A supportive team environment — we genuinely look out for each other, and there’s always someone willing to lend a hand or share a tip.
  • Stable, full-time employment — with a growing company that’s been around for a while, you won’t have to worry about the rug being pulled out from under you.
  • Opportunity to grow — as we expand, there’s room for you to take on more responsibility and develop new skills.
  • Convenient location — Al Qusais is easily accessible, and we know how much time (and stress) a short commute can save you.
  • A culture that values your input — we don’t just want a pair of hands; we want someone who brings ideas to the table.

At the end of the day, we’re looking for someone who’s reliable, organized, and ready to make this role their own. If that sounds like you, we’d love to meet you.

Common Interview Questions and Tips

To help you prepare and feel confident, here are some questions you might encounter during the interview process for this role.

  • Walk me through how you’d tackle a morning where the inbox is overflowing, three invoices need to go out, and a client calls asking about a payment you haven’t processed yet. What’s your priority order?
  • Can you describe a time when you had to follow up with a client about an overdue payment without damaging the relationship? How did you phrase it, and what was the outcome?
  • What’s your system for keeping both physical and digital files organized so you can pull up any document in seconds? Give me a concrete example of how you’ve set that up before.
  • If you spotted a discrepancy in an invoice — say, a decimal in the wrong place or a quantity that didn’t match the quotation — what would you do? Walk me through your process.
  • How comfortable are you picking up new software or tools on the fly? Tell me about a time you had to learn an unfamiliar system or platform quickly in a previous job.
  • Imagine you’ve sent a quotation, but the client has gone quiet for over a week. How would you handle the follow-up, and what would you say to keep things professional but nudge them along?
  • Describe a day at work where everything seemed to go wrong at once — missed deadlines, double-booked meetings, a misdirected email. How did you handle it, and what did you learn from it?
  • Tell me about a time you went beyond your job description to help out a colleague or team. What did you do, and how did it impact the team?
  • In a small, close-knit team, communication is everything. How do you prefer to receive feedback, and can you give me an example of a time you used constructive criticism to improve your work?
  • We’re a team that values efficiency but still finds time for a laugh. How do you balance staying focused and productive with building genuine relationships with the people you work with?
  • What does “taking ownership” of

Market-Based Salary Overview and Analysis

Based on the responsibilities and the level of this Administrative Assistant role in Al Qusais, you should expect a salary of at least 4,000 to 5,500 AED per month. Similar roles in the UAE usually offer between 3,500 and 6,000 AED, and since this position involves invoicing and payment follow-ups—which add a bit more weight than standard reception work—you’re justified in aiming for the higher end of that range.
