Salary: Negotiable

Category: Administration | Job Id: 9943

About the Role: Responsibilities, Skills, and Requirements

Ever found yourself troubleshooting a paperwork snag just as easily as you can spot when a project’s schedule is off by a week? If that sounds a bit like you, you might be the Admin Assistant our construction team in the UAE is looking for right now. This is a chance to lend your organizational talents and hands-on knowledge to a company that values precision and speed — not just in building, but in every detail of our day-to-day operations.

About the Company

We’re a tight-knit group making our mark in the ever-evolving UAE construction industry. Our days are fast, our coffee’s strong, and there’s always a new challenge around the corner — whether it’s a high-rise on the skyline or a systems revamp in the back office. Everyone chips in here, from site engineers to support staff, and there’s a sense of camaraderie that’s tough to find elsewhere. (Also: birthday lunches and celebrating project wins aren’t just traditions, they’re highlights.)

What You’ll Be Doing

  • Handling daily administrative tasks: everything from sorting documents to updating project files, ensuring nothing slips through the cracks.
  • Acting as the point of contact between office staff, site teams, and external suppliers — your communication will keep everyone in the loop.
  • Drafting, formatting, and managing correspondence, purchase orders, and invoices that support smooth project delivery.
  • Scheduling — and occasionally rescheduling — meetings, site visits, and deadlines across multiple ongoing projects.
  • Maintaining accurate records of materials, labor, and approvals, so we’re always audit-ready (and no one’s left hunting for a crucial file).
  • Supporting the team with ad-hoc tasks when unexpected needs pop up — because in construction, flexibility is key.

What You’ll Bring

Must-Haves:

  • Prior experience working within a construction company (you know the drill — paperwork, people, sometimes a bit of mud on your shoes).
  • Solid administrative skills, including document management and process organization.
  • Proficiency with MS Office, especially Outlook, Excel, and Word — you’re comfortable with spreadsheets and aren’t fazed by a full inbox.
  • Confident communication, both written and spoken — you can relay info clearly between field and office staff.
  • Strong ability to stay on top of priorities under tight deadlines or last-minute project changes.

Nice-to-Haves:

  • Familiarity with construction project management software.
  • Experience coordinating with suppliers or procurement teams.
  • Some Arabic language skills (handy, but not required).

Not sure you tick every box? We’d still love to hear from you.

Why You’ll Love Working Here

  • Competitive salary package and annual review process.
  • Supportive, collaborative team atmosphere — we look out for one another.
  • Office conveniently located near public transport (plus free parking if you prefer to drive).
  • Growth opportunities as part of a company that’s expanding its project portfolio across the UAE.
  • Flexible approach to urgent situations — some days, we all pitch in and flex a little.

We’re big believers that the right admin assistant doesn’t just keep things running smoothly — they help us build better from the ground up. If you enjoy the buzz of the construction world, you’ll find your fit here.

Common Interview Questions and Tips

To help you prepare and feel confident, here are some questions you might encounter during the interview process for this role.

  • Can you walk us through your experience handling administrative duties within a construction environment? What daily tasks were you responsible for?
  • How have you managed multiple project deadlines and shifting priorities in previous roles to ensure nothing falls behind schedule?
  • What methods or tools do you use to keep project files, purchase orders, and invoices organized and easily accessible, especially during busy periods?
  • Describe your proficiency with MS Office, especially Excel and Outlook. Are there any specific features or workflows you find particularly useful in managing construction documentation?
  • Have you ever used any construction project management software? If so, which one, and how did it improve your workflow or team coordination?
  • Tell me about a time when you had to communicate complex information between office staff and site teams. How did you ensure clarity for everyone involved?
  • Imagine you receive an urgent request for information from both a supplier and a site engineer at the same time. How would you prioritize and handle this situation?
  • Share an example when you helped your team adapt to an unexpected change or setback in a project. What was your approach?
  • How do you stay calm and focused when sudden requests or last-minute changes arise — especially if several people are asking for your help at once?
  • Collaboration is central here. Can you give an example of a time you pitched in outside your normal duties to support your team?
  • Our company culture is all about celebrating project milestones together. What’s your ideal way to contribute to this sense of camaraderie?
  • When faced with strict deadlines and a fast-paced environment, how do you ensure you maintain accuracy and attention to detail?
  • Why do you think working in construction administration excites or motivates you compared to other industries?
  • What qualities do you believe make an admin assistant invaluable to a construction team?

Market-Based Salary Overview and Analysis

You should expect a salary of at least 4,000–6,000 AED per month for an Admin Assistant role within the UAE construction industry, especially if you have prior sector experience and solid organizational skills. Similar positions often offer packages in this range, sometimes higher if you bring extra value such as strong software skills or additional languages. Given the fast-paced environment and the need to juggle both office and site coordination, aiming for the upper end of this bracket is reasonable if your experience aligns closely with the job requirements.
