About the Role: Responsibilities, Skills, and Requirements

Introduction

Are you that rare person who can spot a cracked tile from a mile away — and loves helping others keep things ship-shape? We’re on the lookout for a Real Estate Admin/Quality Assurance Coordinator who cares about standards, communication, and the little details that matter most in property management. If you find satisfaction in tidying processes, ensuring compliance, and supporting a team, this role could be your perfect fit in today’s ever-evolving real estate landscape.

About the Company

Our team has deep roots in the local real estate scene, blending reliability with a flair for improvement. We’re a tight-knit group that takes pride in managing properties as if they were our own, always striving for comfortable, compliant, and worry-free experiences for both tenants and owners. Here, feedback flows freely, Friday afternoons occasionally feature celebratory snacks, and we believe that strong organization is the backbone of great service. Lately, we’re growing — and refining how we work — so your voice and attention will be valued from day one.

What You’ll Be Doing

  • Conducting regular property audits, both in-person and remotely, to verify quality, safety, and compliance standards.
  • Reviewing detailed inspection reports and cross-checking findings with established benchmarks.
  • Coordinating repairs or improvements between property management, maintenance teams, and vendors.
  • Keeping thorough records of issues, resolutions, and compliance status for easy reference.
  • Developing and updating tracking systems for property standards, drawing on feedback from residents and staff.
  • Assisting with the creation of new processes that ensure ongoing excellence and regulatory adherence.
  • Communicating diplomatically to clarify standards, explain requirements, and facilitate smooth cooperation among different teams.

What You’ll Bring

Must-Haves:

  • A sharp eye for detail — small issues don’t escape your notice.
  • Solid knowledge of property management basics and industry standards.
  • Experience with inspections, audits, or quality assurance (in real estate or related field).
  • Comfort juggling multiple tasks and priorities at once.
  • Strong written and verbal communication skills; clarity and tact really matter here.
  • Familiarity with property management or inspection software.

Nice-to-Haves:

  • Prior experience coordinating with maintenance or vendor teams.
  • Understanding of local housing codes or regulatory requirements.
  • Ability to spot process improvements and pitch ideas constructively.

Not sure you tick every box? We’d still love to hear from you.

Why You’ll Love Working Here

  • Competitive salary with opportunity for periodic reviews.
  • Hybrid work model: Flex days at home and collaborative days in the office.
  • Collaborative, supportive culture — mentorship and learning are part of the deal.
  • Real input on process improvements and company growth.
  • Frequent team check-ins and open communication (no faceless bureaucracy).
  • Paid training for certifications or continuing education in property management.

We aim to create a workplace where detail-oriented people thrive — and where your standards for “good enough” will be truly appreciated. If you’re ready to shape better experiences for both our team and the communities we serve, let’s connect.

Common Interview Questions and Tips

  • Can you describe your experience conducting property audits or inspections? What steps do you take to ensure nothing gets overlooked during these reviews?
  • How have you used property management or inspection software in past roles? Are there particular platforms you find most effective, and why?
  • Tell us about a time you identified a compliance or safety issue during an audit. How did you handle the communication with both tenants and your team to resolve it?
  • Walk me through how you organize and maintain detailed records after inspections or when coordinating repairs. What systems or methods help you stay consistent?
  • If you noticed recurring issues during property inspections, how would you go about proposing and implementing process improvements to prevent them in the future?
  • The role requires balancing multiple priorities and handling urgent requests. Can you share a time when you had to juggle competing deadlines, and how you ensured quality didn’t slip?
  • Have you ever worked with maintenance teams or vendors to coordinate repairs or improvements? How do you keep everyone aligned and projects on track?
  • Imagine you receive feedback from a resident about an issue that doesn’t technically violate any standards, but clearly impacts their experience. How would you approach resolving it?
  • Describe a situation where you had to clarify requirements or compliance standards to someone less familiar with the rules. What approach did you use to ensure mutual understanding?
  • Our team values constructive feedback and open communication. How do you give or receive feedback, especially when it relates to process improvements or quality concerns?
  • What motivates you to pay attention to the “small stuff” in your daily work, and how does that mindset benefit the larger team?
  • Given our collaborative environment and focus on continuous improvement, how would you go about contributing new ideas or suggestions?
  • How do you build strong working relationships with colleagues across different functions—like property managers, maintenance staff, and vendors—while maintaining professionalism and standards?
