About the Role: Responsibilities, Skills, and Requirements
Ever wondered how large projects keep every plan, permit, and email in perfect order? As our next Document Controller, you’ll be at the heart of that process. This is not your average paperwork gig — you’ll play a key role in ensuring our projects stay efficient and our team runs smoothly, by being the go-to expert on all things documentation. If you love organizing, thrive on accuracy, and get a quiet thrill from seeing projects run like clockwork, this one’s for you.
About the Company
We’re a collaborative construction and project management firm where attention to detail isn’t just valued—it’s celebrated. Our team is close-knit, quick to jump in with help or a coffee break pun, and serious about delivering first-class results to our clients. We’re growing steadily (hello, new projects!) but haven’t lost our culture of looking out for one another—Friday recap lunches and quirky office inside jokes included. The General Manager? Approachable, supportive, and absolutely invested in your development.
What You’ll Be Doing
- Keeping company and project documentation (think: contracts, permits, design revisions) organized, secure, and always up-to-date
- Acting as the point person for handling and distributing all incoming and outgoing emails related to ongoing projects
- Monitoring and tracking document revisions, so everyone’s referencing the latest version—goodbye, confusion
- Supporting the General Manager with timely, accurate filing and document distribution, so leadership always has what they need—exactly when they need it
- Maintaining the central document management system (Mushrif), ensuring consistency, accessibility, and confidentiality
- Working with project managers and staff to implement and maintain effective document control processes (including when a sudden “urgent update” hits your inbox)
- Generating periodic reports on document status and compliance for audits or internal check-ins
What You’ll Bring
Must-Haves
- Prior experience in document control, administration, or a role with heavy organizational responsibilities
- Proficiency in document management systems (if you’ve used Mushrif, even better!)
- Strong communication skills—you’re comfortable updating stakeholders and corresponding by email
- Exceptionally organized, with a sharp eye for catching inconsistencies and tracking important details
- Discretion and reliability when handling sensitive information
Nice-to-Haves
- Familiarity with construction or project-based environments
- Experience working directly with a General Manager or executive team
- Intermediate Excel or reporting skills
Not sure you tick every box? We’d still love to hear from you.
Why You’ll Love Working Here
- Supportive team and approachable leadership—no “siloed departments” here
- Friday recap lunches and casual catch-ups that keep things fun and friendly
- Opportunities to grow: expand your documentation expertise or take on new administrative challenges as we grow
- Clean, well-organized office environment—plus all the hot coffee (or tea) you need
- Hybrid options and flexibility when big deadlines (or life) calls for it
- Recognition for your behind-the-scenes heroics; the team knows how critical good documentation is
At the end of the day, you’ll be more than a keeper of records—you’ll be a cornerstone of our project success stories. Isn’t it time to organize something great?
