About the Role: Responsibilities, Skills, and Requirements
Ever found yourself juggling calendars, sorting receipts, and sketching up a quick floor plan—all before noon? If that sounds like your kind of day, you might be the proactive, organized Office Coordinator we’re searching for. This isn’t just about paperwork; it’s a role for someone who thrives on independence, loves a bit of creative design, and isn’t afraid to navigate the sometimes-murky waters of official paperwork. With new technologies and automation changing how offices run, your ability to embrace AI tools and wear multiple hats will put you right at the center of how we grow.
About Us
We’re a close-knit, agile team based in the heart of the city—comfortable enough for open communication, yet ambitious enough that everyone rolls up their sleeves. Our company works across design, administration, and business services, so you’ll never be stuck in just one lane. It’s a place where Friday treats are a thing, and team chats aren’t just about business—they’re how we find out who makes the best coffee or comes up with the wittiest ad slogan. We believe in trusting our team to work independently, but you’ll never feel out on your own—support is always a WhatsApp message away.
What You’ll Be Doing
- Coordinating day-to-day office operations, keeping everything running smoothly (and making it look easy)
- Handling basic accounting tasks—think invoices, receipts, and managing those spreadsheets your future self will thank you for
- Using your AutoCAD know-how for simple drafts, measurements, or project updates, especially when we need a quick visual
- Designing fresh ads, flyers, or digital content—applying creative flair, whether it’s a poster for an event or a branded WhatsApp message
- Putting AI tools to work for smarter workflows (we love someone who can automate, not just operate)
- Managing emails and calls, responding to customers, partners, and vendors with professionalism and a friendly touch
- Handling tasks like dealing with MCC, other governmental bodies, and legal paperwork; sometimes that means braving a queue at an office, sometimes just knowing the right forms to get things done
- Acting as our office “go-to”—able to manage things solo, prioritizing tasks and making calls when it matters
What You’ll Bring
Must-Haves:
- At least 3 years’ experience in office coordination or administration, ideally with small or mid-sized teams
- Solid grasp of basic accounting (if you can balance the books and spot a missing invoice, you’re in the right spot)
- Practical knowledge of AutoCAD for simple design or drafting needs
- Good communication and organizational skills; you know the difference between urgent and important, and you’re comfortable with both email and in-person chats
- Demonstrated independence—able to run the office solo and make confident decisions
- Experience handling government/legal work (especially MCC or similar)
- Comfort with modern office tools, plus a willingness to learn
Nice-to-Haves:
- Skill with designing marketing materials—if you’ve whipped up a flyer or a catchy Insta post, show us!
- Familiarity with AI-powered productivity or workflow solutions
- Experience interacting directly with customers or external stakeholders
Not sure you check every box? Reach out anyway—sometimes the best fit isn’t the “perfect” one on paper.
