About the Role: Responsibilities, Skills, and Requirements

Introduction

Curious about what keeps a modern transport company running smoothly every single day? At Der Mardan Transport, we’re on the lookout for a sharp-eyed Operations Assistant to help us keep the wheels (and paperwork) turning. If you thrive on orderliness and enjoy being the “go-to” person when it comes to making sense out of the moving parts, this might just be your kind of workspace. The transport and logistics sector in Mussafah is evolving quickly, and we need someone who’s ready to play a key role in our day-to-day flow.

About the Company

Der Mardan Transport isn’t just about vehicles coming and going—we’re a close-knit team that believes efficient operations build lasting trust. Our office in Mussafah hums with energy, whether that’s early-morning check-ins with drivers or our infamous end-of-week chai breaks. Here, everyone’s input matters: from junior staff to managers, new ideas are fair game if it means getting the job done better (and maybe faster). Safety, reliability, and genuine care for our people and clients shape everything we do.

What You’ll Be Doing

  • Keep meticulous records of all vehicles in our fleet, tracking important maintenance dates, insurance, and registration.
  • Organize and update driver files, ensuring all required documentation is current and compliant with regulations.
  • Act as the communication hub between drivers, management, and clients—relaying updates, clarifying schedules, and solving snags as they arise.
  • Monitor daily fleet activity, noting departures, arrivals, and any incidents or delays requiring attention.
  • Support daily operational tasks, like preparing schedules, dispatch documentation, and responding to inquiries.
  • Identify small process improvements that could make our operations work even better—your suggestions are always welcome.
  • Pitch in with other logistics duties on busy days; we’re a team, and we dig in together when it counts.

What You’ll Bring

Must-Haves:

  • Proven organizational skills—you love keeping things tidy and accurate, whether it’s records or schedules.
  • Clear, confident communicator in spoken and written English (bonus points for Arabic, but not required).
  • Proactive attitude: you notice small issues before they become big problems.
  • Comfortable using MS Office/Google Workspace and quick to learn company systems.
  • Familiarity with basic transportation or logistics principles.

Nice-to-Haves:

  • Prior experience in a transport, logistics, or administrative support role.
  • Knowledge of vehicle documentation processes in the UAE.
  • Ability to juggle priorities when things get busy (trust us, they will).

Not sure you tick every box? We’d still love to hear from you.

Why You’ll Love Working Here

  • Competitive salary with overtime opportunities for those extra-busy days.
  • Supportive team culture—help is always just a desk (or WhatsApp message) away.
  • Regular paid training sessions: we are always looking to learn and do better.
  • Transport allowance to get you to and from Mussafah easily.
  • Flexible approach to working hours: life happens, and we get that.
  • Tea breaks that occasionally turn into impromptu brainstorming sessions (with snacks, of course).

At Der Mardan Transport, you’ll be more than just a cog in the wheel. If you’re ready to grow in the industry and make a difference every day, you’ll fit right in here.

Common Interview Questions and Tips

To help you prepare and feel confident, here are some questions you might encounter during the interview process for this role.

  • Could you describe your experience keeping detailed records or logs, especially related to vehicle fleets or equipment?
  • How have you ensured that driver files and documentation remain complete and compliant with regulations in the past?
  • Imagine you’re the central contact for a team of drivers, managers, and clients—how would you prioritize and communicate urgent updates, especially if several issues arise at once?
  • Talk us through how you’d track and follow up on maintenance schedules for a mixed fleet. What tools or methods would you use?
  • What’s your approach when you notice a recurring issue in an operational process? Can you give an example of a time when you suggested (or implemented) a small improvement?
  • Explain your comfort level with MS Office or Google Workspace. Which programs have you used most in previous roles, and for which types of tasks?
  • Have you ever worked in a fast-paced transport or logistics environment before? Tell us about a particularly busy day—how did you handle conflicting priorities?
  • Can you recall a situation when a miscommunication between team members led to a problem? What did you do to help resolve it?
  • If a driver calls in with an on-route incident while you’re already preparing schedules and handling client inquiries, how would you decide what to do first?
  • Describe a time when you had to quickly learn a new digital system or tool on the job. What helped you get up to speed?
  • How do you maintain accuracy and attention to detail when performing repetitive administrative tasks?
  • Teamwork is big for us—what’s your style when pitching in to help with tasks outside your usual responsibilities?
  • How do you keep your motivation and focus up during smaller daily routines or when things feel particularly hectic?
  • Why do you think you’d be a good match for our friendly, collaborative culture at Der Mardan Transport?
