What You’ll Be Doing
- Supervising daily administrative office activities, ensuring processes run seamlessly from start to finish.
- Leading, supporting, and motivating a small admin team—providing guidance and real-time feedback as needed.
- Overseeing office documentation, including contracts, official letters, and confidential records, with meticulous attention to detail.
- Liaising with vendors, service providers, and external partners to coordinate office supply orders, repairs, and more.
- Coordinating staff schedules, tracking attendance, and planning for coverage during leaves or peak periods.
- Supporting management in implementing and enforcing company policies—think of yourself as the go-to person for office know-how.
- Identifying areas for process improvement and helping to roll out new operational initiatives.
- Assisting with onboarding new team members, ensuring they have everything needed to hit the ground running.
- Handling ad-hoc administrative tasks, whether that’s preparing for a big client visit or keeping an eye on office resources.
What You’ll Bring
Must-Haves
- Proven experience in office administration or operations supervision, preferably in Dubai or the GCC region.
- Strong leadership skills, with the ability to guide and motivate a diverse admin team.
- Excellent organizational skills and a sharp eye for detail—keeping both people and processes on track.
- Comfortable multitasking and prioritizing in a fast-paced work environment.
- Professional communication skills in English; Arabic is a bonus.
- Proficiency with MS Office (Excel, Word, Outlook) and confidence learning new office tools.
Nice-to-Haves
- Previous experience working with recruitment consultancies or HR departments.
- Familiarity with UAE labor laws and residency procedures.
